How Onboarding Works
Step One: You complete the form
Before any work begins, you’ll complete a short form. This helps us understand your brand, your content goals, and the type of writing you need. While it may feel a little detailed, it allows us to start correctly and avoids delays or unnecessary back-and-forth later.
The form collects information such as your brand voice, target audience, preferred content types, links to your website or socials, and any examples you want us to follow.
Step Two: We contact you within a few hours
After you submit the form, we’ll reach out within a few hours to confirm details and ask any final questions. Communication will take place via email, Slack, Discord, or WhatsApp, based on what you selected in the form.
This step ensures everything is aligned before writing begins and prevents assumptions on either side.
Step Three: We create your content plan
Once the form is confirmed, we’ll create a shared Google Sheet to plan and manage your content. This sheet keeps both sides aligned and gives you full visibility into what’s being worked on.
The sheet will outline:
Your monthly word allocation (for this package, 10,000 words)
Content topics and formats
Progress status for each piece
Space for notes, links, and updates
You’ll be able to view and update the sheet at any time.
Step Four: You choose how topics are handled
You can either provide topics directly in the sheet, or ask us to research and propose topics for approval before writing begins. When topic approval is required, no content is written until you’ve confirmed the plan.
Step Five: Writing begins
Once the content plan is approved, writing begins. Content is delivered on a rolling basis throughout the month, and progress is updated in the shared sheet so you always know what’s next.
Step Six: You can add more words if needed
If you need more content in a particular month, you can add extra words without changing your subscription.
Additional words are priced at the same per-word rate as your package to keep pricing consistent and transparent.

Add-ons apply to the current month’s workload and can be purchased more than once if required. This allows flexibility during busier months while keeping quality and delivery standards consistent.

Confidentiality And NDA
We treat all information you share with Gaiaa Designs as confidential and use it only to deliver the service. If you require a formal Non-Disclosure Agreement (NDA), we can sign one upon request before you share sensitive materials.
Copyright Ownership
You own the final written content we deliver once payment for the relevant billing period has been received. Upon payment, all rights in the delivered content transfer to you. Gaiaa Designs retains no ownership claim over your final delivered content.
Service Description
This subscription includes up to 10,000 words per month, produced according to the information you provide in the pre-subscription form and any agreed content plan. Your word allowance can be used across content types such as blog posts, website pages, service pages, product descriptions, landing pages, and marketing copy, as agreed in writing.
Onboarding And Workflow
Before subscribing, you will complete a form so we can understand your brand, goals, and content requirements. We will then contact you within a few hours to confirm details and set up a shared content plan (typically via a Google Sheet with linked Google Docs). Work begins after the plan and priorities are confirmed.
Delivery And Monthly Capacity
Content is delivered on a rolling basis throughout the month unless otherwise agreed. To maintain quality, we may limit output to a maximum of 2,500 words per day. Delivery timelines can be affected if required information, approvals, or feedback are delayed.
Revisions
Reasonable revisions are included to align content with the original brief, agreed tone, and factual accuracy. Revisions do not include new topics, changes in direction, or complete rewrites due to a changed brief. Requests outside the original scope may require additional time or fees.
Add-on Words
If you require additional words within a billing month, you can purchase add-ons. Add-ons apply to the current month’s workload and do not roll into future months unless agreed in writing.
Client Responsibilities
You agree to provide:
accurate brand information and references where required
timely approvals or feedback when needed
access to any materials we must use (links, product details, policies, brand guidelines)
Delays caused by missing information or late feedback may affect delivery timelines.
SEO And Performance Disclaimer
We optimise content for readability and search intent, but we do not guarantee specific rankings, traffic, revenue, conversions, or featured snippet placement. Search engine results are influenced by factors outside our control.
Payment, Renewals, And Cancellation
This service is billed on a manual monthly basis rather than automatic renewal.
At the end of each billing period, you’ll receive a secure payment link for the upcoming month. This gives you full visibility over what’s being charged and ensures you’re always aware of when and how payments are made. If you prefer, we can also issue a formal invoice instead.
We use this approach intentionally so our clients have complete clarity over their spending and are never charged unexpectedly. Work continues once payment for the new billing period is confirmed.
Refunds
Fees are generally non-refundable once work has commenced for the billing period. Where applicable consumer cancellation rights may still apply. If you believe there has been a billing error, contact us promptly so we can review and resolve it.
Communication
Primary communication and updates take place through the channels agreed during onboarding (for example: email, Slack, Discord, or WhatsApp). Content planning and delivery typically take place through shared Google documents.
Termination For Non-Payment
Services may be paused or terminated if payment is not received within 30 days of the due date.
Daily Word Limit
To maintain quality, a maximum of 2500 words is delivered per day.
Limitation Of Liability And Force Majeure
Gaiaa Designs is not liable for indirect or consequential losses arising from the use of the service. We are not responsible for delays or failures caused by events outside our reasonable control.
Governing Law
These terms are governed by the laws of England and Wales.
Changes To These Terms
We may update these terms from time to time. Where changes are material, we will provide notice on the website or via email.
