Website Ownership & Access

The client remains the full legal owner of their Webflow account, Workspace, website, domain, hosting plan, billing setup, connected tools, and all related platform services at all times.

Access is granted through Webflow’s available roles, seats, permissions, or guest access options unless otherwise agreed.

Gaiaa Designs does not require ownership transfer, billing control, unrestricted Workspace control, or access to unrelated sensitive information unless a specific agreed task requires it and the client approves it in advance.

The client may revoke or adjust Gaiaa Designs’ Webflow access at any time through their Webflow account or Workspace settings.

Webflow Platform Fees, Hosting & Third-Party Costs

Webflow hosting, Workspace plans, Site plans, domain fees, email services, apps, third-party tools, integrations, subscriptions, templates, plugins, paid assets, stock images, fonts, automation tools, and any other platform-related charges remain the client’s responsibility.

Gaiaa Designs’ subscription fee covers the website management and update support provided by Gaiaa Designs only.

It does not include Webflow hosting, Webflow billing, domain renewals, third-party app costs, software subscriptions, or paid external services.

The client is responsible for maintaining an active Webflow account, relevant hosting plan, domain connection, and any third-party services required for the website to function.

Confidentiality & Data Protection

All information shared with Gaiaa Designs is treated as confidential and used solely for service delivery.

This may include website access details, campaign information, unpublished content, internal notes, client documents, marketing materials, images, links, content drafts, and business information.

Gaiaa Designs does not request or require access to billing details, payment information, customer databases, unrelated internal systems, or sensitive personal data unless required for an agreed task and approved in advance.

If required, a Non-Disclosure Agreement can be reviewed and signed before work begins.

The client is responsible for ensuring that any content, images, customer information, or personal data supplied to Gaiaa Designs has been collected and shared lawfully.

Onboarding & Workflow

Before service activation, the client will complete an intake form to clarify the website setup, update requirements, and workflow.

This may include:

Update Allocation & Scope

Unused support time, unused update capacity, or unused requests do not roll over into future billing periods unless agreed in writing.

If the volume, urgency, complexity, or frequency of requests exceeds the standard package, Gaiaa Designs may recommend a custom Webflow support package.

Webflow CMS & Content Updates

Gaiaa Designs may update existing Webflow CMS collections where required and where appropriate access has been granted.

The service includes working within the existing CMS structure.

It does not include major CMS restructuring, rebuilding CMS templates, redesigning collection pages, creating complex new collection relationships, database-style architecture, or repairing poorly built CMS systems unless separately quoted.

Page Updates & Layout Boundaries

Gaiaa Designs may make page updates within the existing Webflow website structure.

This may include updating text, replacing images, changing buttons, adjusting links, refreshing sections, adding approved content, updating campaign messaging, and making minor formatting adjustments where needed.

Major layout redesigns, new page designs from scratch, advanced responsive rebuilding, new visual systems, new animations, custom interactions, or full design changes are not included in the standard package.

SEO & AI Search Housekeeping Disclaimer

Turnaround & Urgent Requests

Updates are handled in the order submitted through the agreed tracker or communication channel.

Time-sensitive updates must be clearly flagged.

Turnaround depends on the size of the request, clarity of instructions, asset availability, access permissions, workload, and whether the request falls within the standard package scope.

Gaiaa Designs will make reasonable efforts to prioritise urgent updates where possible, but urgent completion is not guaranteed unless specifically agreed in writing.

Last-minute requests, same-day updates, high-volume campaign changes, or urgent tasks outside normal workflow may require separate discussion or a custom arrangement.

Full mobile redesigns, responsive rebuilding, breakpoint repair, advanced layout correction, or broader responsive restructuring may require a separate quotation.

Technical Limitations

Gaiaa Designs operates within the functional limits of Webflow, the client’s current Webflow plan, the existing website setup, granted permissions, CMS structure, connected tools, and third-party services.

Gaiaa Designs is not responsible for Webflow outages, Webflow platform changes, hosting interruptions, domain issues, workspace limitations, Webflow plan restrictions, app limitations, third-party failures, browser issues, custom code conflicts, integration errors, or restrictions imposed by Webflow or external providers.

Some updates may not be possible within the existing website structure without additional design, development, or technical work.

Third-Party Tools, Forms & Integrations

Where a Webflow website uses external forms, CRMs, email marketing tools, booking systems, analytics tools, automation platforms, payment tools, embedded widgets, apps, or third-party integrations, Gaiaa Designs may update links or embedded content where this falls within the agreed scope.

Complex setup, troubleshooting, configuration, automation, API work, payment setup, CRM repair, analytics configuration, or integration development is not included in the standard package.

Any third-party system work may require a separate quotation.

Websites Not Built By Gaiaa Designs

Gaiaa Designs can manage existing Webflow websites even if the website was built by another agency, freelancer, template creator, in-house team, or previous provider.

However, Gaiaa Designs is not responsible for the quality, structure, performance, accessibility, SEO setup, code quality, CMS setup, responsiveness, or maintainability of work completed by others.

If the existing website structure makes routine updates difficult or risky, Gaiaa Designs may recommend a separate review or custom quote before continuing.

Corrections & Revisions

If an update needs a reasonable correction because it was implemented incorrectly against the approved instructions provided, Gaiaa Designs will review and adjust it.

Corrections do not include new requests, changed instructions, additional content supplied after completion, revised campaign direction, missing information provided late, or changes that move the task beyond the original agreed update scope.

Additional revisions or expanded requests may count as new update tasks.

Payment, Billing & Renewal

This service is billed manually on a monthly basis.

At the end of each billing cycle, the client will receive a secure payment link or invoice for the upcoming month.

Work continues once payment for the new billing period is confirmed.

There are no automatic renewals unless explicitly agreed.

Payment must be made before work begins for the relevant billing period unless otherwise agreed in writing.

Cancellation

Either party may cancel the subscription with written notice before the next billing cycle.

No partial refunds are issued for active billing periods once work has commenced.

The client may remove Gaiaa Designs’ Webflow access at any time through their Webflow account or Workspace settings.

Cancellation does not remove the client’s responsibility to pay for any active billing period, agreed work, custom quote, or outstanding invoice already issued.

Pausing The Service

Service pauses may be considered on request but are not guaranteed.

If a client wishes to pause the service, this must be discussed before the next billing cycle.

Pauses do not automatically reserve availability, pricing, or workflow capacity unless agreed in writing.

Limitation Of Liability

Gaiaa Designs shall not be liable for indirect, incidental, special, or consequential losses arising from the use of this service.

This includes, but is not limited to:

Loss of revenue

Loss of traffic

Loss of rankings

Loss of leads

Loss of enquiries

Loss of sales

Loss of bookings

Loss of data

Website downtime

Platform issues

Third-party failures

Search ranking changes

AI search visibility changes

Campaign delays

Errors caused by incorrect client information

Delays caused by missing assets or access limitations

Gaiaa Designs’ liability is limited to the amount paid for the relevant service period, to the fullest extent permitted by law.

Force Majeure

Gaiaa Designs is not responsible for delays or failures resulting from events beyond reasonable control.

This includes, but is not limited to, platform outages, Webflow service interruptions, hosting issues, internet failures, power outages, natural disasters, governmental actions, strikes, illness, cyber incidents, third-party service failures, or unexpected technical interruptions.

Governing Law

These terms are governed by the laws of England and Wales.
